Summary

infeurope S.A. is looking for an Administrative Assistant for a European Commission Agency in Strasbourg.

Responsibilities

As an Administrative Assistant, you will be responsible for providing comprehensive administrative support to the business relations management sector of the agency. Your primary duties will include:
·        Setting up internal preparation meetings, ensuring alignment for timely delivery of presentations, and sharing with stakeholders.
·        Participating in monthly stakeholder meetings, taking notes on actions, and updating action lists.
·        Coordinating the review of executive summaries and meeting minutes and sharing final versions with stakeholders.
·        Facilitating consultations with stakeholders and coordinating monthly preparation meetings.
·        Supporting the onboarding process for new hires within the division, organizing monthly meetings with external stakeholders of the agency, and providing necessary documentation.
·        Providing support to the Management Board Secretariat with presentation screening and managing meeting access.
·        Coordinating the review process of summary documents among internal and external stakeholders.
·        Arranging ad-hoc meetings with external stakeholders and facilitating consultations.
·        Setting up weekly sector meetings, monthly unit meetings, and recurring meetings for the Head of Unit.
·        Providing extranet/intranet access to colleagues and participating in planning and organizational work of the business relations management sector and its staff members.

Qualifications

·        two year university degree (Bac+2)
·        Proven experience in administrative support roles, preferably within a governmental or international organization.
·        Minimum 4 years of relevant professional experience, of which minimum 3 years of experience in administrative support roles.  
·        Strong organizational skills with the ability to manage multiple tasks simultaneously.
·        Excellent communication and interpersonal skills.
·        Proficiency in Microsoft Office Suite and other relevant software.
·        Knowledge of SharePoint and Jira or similar software is desirable.
·        Fluency in English (both written and spoken) is required; knowledge of other EU languages is an advantage.
·        Ability to work effectively in a multicultural environment.
